Academic Advising & Approval Process

Select the School of your major for detailed instructions on the process you should follow for academic advising and course approvals.

PRIOR TO APPLYING

UCEAP:

  • You are required to meet with an Academic Counselor in the Arts prior applying and complete the UCEAP Academic Planning Form: Arts. Be sure to bring course descriptions for the courses you may take on UCEAP. Once approved, upload your completed form to your UCIAbroad account by the application deadline.

UCI Programs & Other UC Programs

  • Meet with an Academic Counselor in the School of your major to determine the process to follow if you would like courses to fulfill UCI degree requirements.

Independent Programs

  • Once you have chosen your Independent Program and submitted your Pre-Application to the UCI Study Abroad Center, you will then receive instructions on the process for fulfilling UCI degree requirements and receiving credit.

WHILE ABROAD

If the courses you originally discussed with your Academic Counselor change, email an Academic Counselor to ask if other courses are likely to count toward degree requirements – attach course descriptions/syllabi.

UPON RETURN

Once your units are posted on your transcript, you may schedule an appointment with an Academic Counselor. You may have a petitioning process to follow in order to have the courses fulfill specific degree requirements. Be sure to save course syllabi, projects, assignments, papers and portfolios since it may be required in the petition process.

For students going abroad their senior year, usually you need to be certified for graduation at least one quarter after your return due to the time it takes for units to be posted to your UCI transcript. Please keep this in mind when applying for graduation.

UCEAP:

  • Nursing Majors:
    • You are required to meet with an Academic Advisor in Nursing Science prior to applying and complete the UCEAP Academic Planning Form: Nursing. Be sure to bring course descriptions for the courses you may take on UCEAP. Once approved, upload your completed form to your UCIAbroad account by the application deadline.
  • Public Health Majors:
    • Prior to participating in EAP, Public Health majors are encouraged to meet with a Public Health Academic Counselor. It is to your advantage to make an an appointment after being selected for EAP participation and before the deadline to withdraw from your EAP program. But, you may meet with a counselor sooner, as needed, for advising. Bring to the appointment descriptions of the courses you plan to take while abroad.
  • Pharmaceutical Science Majors:
    • Required: Pharmaceutical Sciences majors must meet with a Pharmaceutical Sciences Academic Counselor prior to applying for EAP and complete an approval form.
    • EAP Physics Summer (Sussex, Dublin, or Glasgow) applicants: bring to your appointment the EAP Academic Planning form for Physics Summer Programs (PDF). Note that pre-requisites for the physics courses on these programs are Math 2A and 2B with minimum grades of C and no repeats.
    • All other students: bring to your appointment the EAP Academic Planning form for Pharmaceutical Sciences Majors (PDF) as well as course descriptions for the courses you are planning to take on EAP.
    • Once approved, upload your completed form to your UCIAbroad account by the application deadline.

  • Business Administration Majors:
    • You are required to meet with an Academic Counselor in Business Admin prior to applying. Students interested in fulfilling degree requirements must submit a course substitution petition for courses they would like to use for your major. The petition must be turned into The Paul Merage School of Business Undergraduate Counseling/Student Affairs office no later than Friday of 3rd week at 5 p.m. of any quarter.
  • Management Minors:
    • You may meet with an Academic Counselor prior to applying.  After selection, you are required to submit a course substitution petition to the Paul Merage School of Business Undergraduate Counseling/Student Affairs office no later than Friday of 6th week of any quarter by 5:00 p.m. A maximum of two UCEAP courses can substitute for requirements, with Paul Merage School of Business faculty approval.
  • Full time MBA Students:
    • You are required to contact Assistant Director Sofia Dang in the Paul Merage School of Business.

  • You are required to read the Humanities EAP Guidelines section of the Humanities Office of Undergraduate Study web site.  On the web site, check the box to verify that you have read and understood the academic advice provided to you, submit the EAP form requesting information for the program to which you are applying, and print out a copy.  Then, upload your form to your UCIAbroad account by the application deadline.
  • After being selected you have the option to make an appointment to meet with a Humanities Academic Counselor and/or the undergraduate chair in the department of your major. Be sure to bring course descriptions for the courses you may take on UCEAP so s/he can help you determine which courses are likely to meet degree requirements.

The advisor will help you determine which courses are likely to meet degree requirements.  Call 949-824-6987 to make an appointment.Optional:  Undergraduate/Undeclared students may meet with an Undergraduate/Undeclared Academic Counselor sooner, as needed, for advising.
