Academic Advising & Approval Process for UCEAP Programs

Select the School of your major for detailed instructions on the process you should follow for academic advising and course approvals on UCEAP.

PRIOR TO APPLYING

You are required to complete the UCEAP Academic Planning Form for Arts Majors and email it to the Academic Counselors in the Arts for approval. You do not need to meet with an Academic Counselor, but they are available to discuss any questions you may have about the courses you take abroad. Then, upload your completed UCEAP Academic Planning Form into the UCIAbroad portal by the Campus Approval deadline.

WHILE ABROAD

If the courses you originally discussed with your Academic Counselor change, email an Academic Counselor to ask if other courses are likely to count toward degree requirements – attach course descriptions/syllabi.

UPON RETURN

Once your units are posted on your transcript, you may schedule an appointment with an Academic Counselor. You may have a petitioning process to follow in order to have the courses fulfill specific degree requirements. Be sure to save course syllabi, projects, assignments, papers and portfolios since it may be required in the petition process.

For students going abroad their senior year, usually you need to be certified for graduation at least one quarter after your return due to the time it takes for units to be posted to your UCI transcript. Please keep this in mind when applying for graduation.

    • You are required to meet with an Academic Counselor in Business Admin prior to applying. Courses taken through UCEAP will count as elective units. If you would like a course to satisfy your degree requirements, you must submit a Course Substitution Petition for each course you would like to use for your major – the Course Comparison Worksheet can help you get organized. The petition must be submitted no later than Friday of 3rd week at 5 p.m. of any quarter.
    • Consider taking pre-approved EAP electives
  • Management Minors:
    • You may meet with an Academic Counselor prior to applying. After selection, you are required to submit a Course Substitution Petition no later than Friday of 6th week of any quarter by 5:00 p.m. The Course Comparison Worksheet can help you get organized. Note that a maximum of two UCEAP courses can substitute for requirements, with Paul Merage School of Business faculty approval.
  • Full time MBA Students:
    • You are required to contact Associate Director Sofia Dang in the Paul Merage School of Business.

Students who are planning on attending a Study Abroad program must petition their coursework (scroll down to “Request for Course Waiver or Substitution) prior to their departure.  Submit a course waiver petition for each course that you would like to use to fulfill either a GE or an Education Sciences major requirement at least one quarter in advance of the start of your program.”

You are required to complete and submit the ICS academic planning form as part of your UCIAbroad campus approval. Once you submit the form, an ICS counselor will review it for approval. If approved, you will receive a confirmation email from the ICS office. Please upload this email to your UCIAbroad portal by the Campus Approval deadline. If denied, you will be notified via email. Processing time is 2-3 weeks.

If you are planning to study abroad in your senior year or last 3 quarters of study, you are required to meet with an Academic Counselor prior to going abroad.

WHILE ABROAD

If the courses you originally discussed with your Academic Counselor change, submit a new Study Abroad Syllabus Review form. Please note that processing time is 3-4 weeks and you may already be abroad when you receive a decision.

UPON RETURN

Once your units are posted on your transcript, you may schedule an appointment with an Academic Counselor. For any courses that have not already been reviewed, you may submit a Study Abroad Syllabus Review form. Please note that processing time is 3-4 weeks.
